Create legally compliant double opt-in forms

With the function Forms create forms using drag & drop, for example for:

  • Subscribe to the newsletter
  • Brochure requests
  • Appointment requests
  • Contact requests 
  • Registration for events

You can either use these forms directly or integrate them into your own website.

Legally compliant registration forms for newsletters

If you would like to use the form to register for a newsletter, the system offers the option of legally compliant double opt-in verification.

Checkbox for consent

For a registration to be legally compliant with the GDPR, consent to receive the newsletter must be voluntary. For this purpose, your form must contain a checkbox through which a person clearly expresses that they wish to subscribe to your newsletter. 

Such a checkbox can look like this, for example:

The checkbox must not be ticked from the outset, but must be actively marked by the visitor (otherwise the consent would not be voluntary and therefore invalid). It is also necessary to indicate that it is possible to unsubscribe at any time.

Double opt-in verification

After submitting the form, a verification e-mail with a confirmation link must be sent to the e-mail address provided. This e-mail may only contain a short explanatory text, the confirmation link and your imprint; any form of advertising is prohibited. The registration is only considered verified once you have confirmed by clicking on the link. From now on, you may send your newsletter to the registered e-mail address.

Coupling with other offers is not permitted. For example, you may not necessarily link participation in a competition or an order in an online store with registration for your newsletter. 

Data economy

An important principle of the GDPR is data minimization. Data minimization means that you may only collect data that is absolutely necessary for the provision of a service (in this case, sending a newsletter). To register for a newsletter, only the email address and the relevant data to prove consent are actually required (i.e. time and IP address of registration and time and IP address of the double opt-in confirmation). It is questionable whether it is really necessary to ask for the name, but it can be argued that there is a legitimate interest in personalizing the newsletter. Telephone number and postal address, on the other hand, are not necessary.

How the registration process works

mynewsletter.rocks offers you three different options for designing a registration process:

  1. Application forms with mandatory double opt-in. These forms are specially designed for registering for an e-mail newsletter.
  2. Registration forms without double opt-inThese forms are intended for contact inquiries or event registrations, but do not entitle you to receive a newsletter.  
  3. Registration forms with optional double opt-in: Forms that contain a double opt-in option, but this is not mandatory, e.g. for contact forms. 

The exact processes for the respective forms are described in detail below.  

Registration process for double opt-in registrations

The automatic registration process for registrations with double opt-in verification works as follows:

  1. Fill out and submit the form on your website
  2. A message will appear stating that the registration must be confirmed by an activation link sent by e-mail.

3. an e-mail with the activation link will be sent at the same time.

4. your visitor clicks on the activation link and is redirected to a landing page specified by you.

5. the registration is activated in the system and can now be imported into your cobra. In addition, an e-mail receipt with detailed information about the registration will be sent to the address you have specified. 

6. a sequence of automatic emails begins to be sent. For example, if you have defined a welcome email to be sent immediately after a registration, this will be sent automatically to the new subscriber. 

Registration process for registrations without double opt-in

For simple contact requests where no newsletter is to be subscribed to, verification of the e-mail address is usually not absolutely necessary The automatic registration process works like this in this case:

  1. Fill out and submit the form on your website
  2. If applicable, redirection to a landing page specified by you.
  3. The registration is activated in the system and can now be imported into your cobra. In addition, an e-mail receipt with detailed information about the registration will be sent to an address you specify. 
  4. The sending of a sequence of automatic emails begins (whereby we would leave it at a single confirmation email for forms without double opt-in verification). 

Registration process for registrations with optional double opt-in

If registration for the newsletter is optional in your form, the procedure depends on whether a visitor registers for the newsletter or not. 

If yes, the registration process for double opt-in registrations will be carried out.  

If not, the registration process will be carried out for registrations without double opt-in.
